Terms and Conditions

1. Parties
These Terms and Conditions govern the relationship between:
Service Provider: Red Hotel Accommodation SRL, Strada I.C. Brătianu, Cluj-Napoca, Romania. CUI: RO 24761246 · J12/4598/2008
Client: any natural person or legal entity that submits an inquiry, makes a booking, or enters into a rental agreement with Red Hotel Accommodation SRL.
2. Services
Red Hotel Accommodation SRL provides fully furnished short-term and medium-term apartment accommodation in Cluj-Napoca, Romania, targeting:
- Corporate stays (30+ days): accommodation for company employees, relocation packages, and project-based teams, with direct company invoicing.
- Business travel stays (7–29 nights): accommodation for individual business travelers and consultants on short-term assignments.
All apartments are located in central Cluj-Napoca and are fully equipped with kitchen, workspace, Wi-Fi, and linen. Exact unit specifications are provided in the individual unit descriptions on our website.
3. Booking and Confirmation
A booking is confirmed only upon receipt of written confirmation from Red Hotel Accommodation SRL (by email). Submitting an inquiry or completing a form on our website does not constitute a binding reservation. We will respond to all inquiries within 2 business hours during working days (Monday–Friday, 09:00–18:00 EET).
For corporate bookings (30+ days), a written rental agreement must be signed before check-in. For business travel stays (7–29 nights), confirmation by email is sufficient.
4. Pricing and Payment
All prices are quoted in EUR and are exclusive of VAT unless otherwise stated. The applicable VAT rate is 9% (accommodation services under Romanian law). Prices are confirmed in writing at the time of booking and are valid for the agreed stay period.
- Corporate stays: invoiced monthly in advance. Payment due within 15 days of invoice date.
- Business travel stays: payment due before or on check-in date, unless otherwise agreed in writing.
- Accepted payment methods: bank transfer (IBAN provided on invoice). Cash payments accepted on-site by prior arrangement.
Late payments are subject to statutory interest under Romanian law (OG 13/2011).
5. Check-In and Check-Out
Standard check-in time is 15:00 (3 PM) and check-out is 11:00 (11 AM). Early check-in or late check-out may be arranged subject to availability and may incur an additional charge. Check-in is self-service via a key safe or smart lock; access codes are provided by email before arrival.
6. Cancellation and Modification
- Corporate stays (30+ days): cancellation or early termination requires 30 days written notice. If notice is shorter, the equivalent of one month's rent is due as a cancellation fee, unless otherwise agreed in the rental contract.
- Business travel stays (7–29 nights): free cancellation up to 7 days before check-in. Cancellations within 7 days of check-in are subject to a fee equivalent to 2 nights' accommodation.
- No-shows: treated as a cancellation without notice; the full first week's rate is charged.
All cancellations must be communicated in writing to [email protected].
7. Guest Obligations
The client and all guests staying in the apartment agree to:
- Use the apartment solely for residential purposes
- Maintain the apartment in good condition and report any damage promptly
- Respect quiet hours (22:00–08:00) and building regulations
- Not sublet or allow third parties to use the apartment without prior written consent
- Not smoke inside the apartment (smoking is permitted on balconies/terraces where available)
- Not keep pets without prior written consent
- Return all keys and access cards at check-out
The client is liable for any damage caused by guests beyond normal wear and tear. Damage costs will be deducted from the security deposit or invoiced separately.
8. Security Deposit
A security deposit equivalent to one month's rent (for corporate stays) or two nights' accommodation (for business travel stays) may be required at the time of booking. The deposit is refunded within 14 days of check-out, less any deductions for damage, unpaid invoices, or cleaning costs exceeding normal use.
9. Liability
Red Hotel Accommodation SRL is not liable for:
- Loss or theft of personal belongings inside the apartment
- Temporary interruptions to utilities (electricity, water, internet) caused by third-party providers or force majeure events
- Indirect or consequential losses arising from the use of our accommodation
Our total liability in any case is limited to the value of the accommodation fees paid for the affected period.
10. Invoicing and VAT
Red Hotel Accommodation SRL is a VAT-registered entity (RO 24761246) applying the VAT on cash receipts scheme (TVA la încasare). Fiscal invoices are issued in accordance with Romanian fiscal legislation (Legea 227/2015 — Codul Fiscal). Invoices are issued in RON or EUR as agreed. For corporate clients, invoices are addressed to the company based on the details provided at booking.
11. Governing Law and Disputes
These Terms and Conditions are governed by Romanian law. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of Cluj-Napoca, Romania. Before initiating legal proceedings, the parties agree to attempt resolution through good-faith negotiation.
12. Changes to These Terms
We reserve the right to update these Terms and Conditions at any time. The date of the most recent revision is indicated at the top of this page. Continued use of our services after any changes constitutes acceptance of the updated terms.
